Production Specialist
Role: Full range of word processing and production support to project, proposal, and management teams, plus additional administrative support as needed.
Responsibilities: Job duties and responsibilities may change over time and as needed. The Production Specialist is expected to be flexible about the exact duties included in the job description, understanding them to be generally as follows:
Basic Word Processing
- Enter handwritten text into word processing files
- Correct format and spelling errors in existing word processed files
- Merge files into documents, creating table of contents, cover page, and preparing/incorporating exhibits such as charts, graphs, and tables.
- Insert minimally formatted text into existing templates (reports, proposals, resumes, etc.)
- Prepare mailings (including mailmerge, template creation, address labels, etc.)
- Prepare project and other correspondence as requested
- Perform data entry and related tasks for projects
General Production Support
- Archive project and sales files, and maintain hard copy catalog of all archived files
- Proofread as needed
- Schedule and oversee final production of project and sales deliverables (including copying and quality control)
- Process orders for BPA publications; process and record incoming payments; keep track of publications income and credit card charges
- Produce and update publications list
- Maintain publications files/library
Advanced Word Processing
- Design and layout of newsletters, monographs, handbooks, manuals, overhead transparencies, proposals, and PowerPoint presentations
- Creative visual, graphic design of BPA products
- Update content of BPA website
- Help develop and revise BPA style guidelines and templates
Administrative tasks are expected to include backing up phones and providing occasional executive assistant support to the CEO and CFO.
The Production Specialist is expected to work productively without close supervision, and to work constructively with other staff on project or proposal teams. The Production Specialist will work with multiple staff and projects, often juggling conflicting deadlines, and will need to communicate effectively about progress, time availability, and priorities. The Production Specialist will exhibit high standards of quality in enhancing the appearance of BPA’s written products. The Production Specialist will use time effectively, and represent the company in a professional manner in dealings with outside individuals and organizations.
Like all staff at BPA, the Production Specialist is expected to participate actively in and contribute to BPA on the corporate level by pitching in wherever needed and providing input on various corporate issues as requested.
Qualifications:
- Advanced word processing skills, including:
- ability to create charts, graphs, and complex tables
- ability to judge suitability of graphic format to the material being presented
- Knowledge of relevant software packages (especially Microsoft Office Suite, Adobe Acrobat, and Adobe Illustrator)
- Experience with website maintenance and applications
- Experience with Windows desktop operating system(s)
- At least four years’ work experience in an office setting
- Excellent written English language skills
- Excellent organizational and administrative skills
- Demonstrated ability to effectively juggle multiple priorities and deadlines, and maintain calm and focus in a hectic and high-pressure environment.
